Refund Policy

How do I pay for a program? When is my payment due?
Registration fees are due 5 business days before programs begin and can be paid through your online account or in person at the Municipal Office.
Payment Methods:
  • Online registration requires credit card payment at the time of registration.
  • In-Person payments can be made with cash or debit card only. Payments are accepted at the Municipal Office, 76 Morison Drive. In the Summer, payments can be accepted at the Hants Aquatic Centre, 306 Stannus Street.
  • We are unable to accept E-transfers as a form of payment.
  • Pre-approved payment plans are available. 
  • Please request this at the time of registration. Registration must be done over the phone.
  • Please contact us before your program begins if you need a payment plan.  

If payment is not received 5 business days prior to the program start date, you will be removed from the program, and your space will be offered to the next person on the waitlist. You will not be permitted in the program.

Payment cannot be accepted in programs by program leaders. Outstanding invoices, after 30 days, will be handed to the Finance Department and your account will be charged interest until paid in full.

Program Changes

Do I get reimbursed if one of my classes is cancelled?
There are times when organizers must cancel an individual class due to inclement weather or instructor- or facility-related conflicts. When this happens, every effort will be made to reschedule the cancelled classes, otherwise you’ll be given a credit on your registration account for future use.
Credits on account do not guarantee you a spot in future programs.

What if a program I registered for is cancelled?
If your program is cancelled, you will automatically be given a refund (prorated, if applicable). This will be provided in the form of a credit on your registration account for future use. Administrative fees do not apply to program cancellations.
Recreation staff reserve the right to cancel any program or to change class times and/or locations. Do not wait until the last minute to register, as programs with low registration may be cancelled. 
How do I withdraw from a program?
It is your responsibility to ensure you have read the program description and understand age restrictions, program start/end times, locations, and other details before registering for the program. 
If you no longer wish to participate in a program that you are registered in, you must contact our Community Development’s Programs Team to be withdrawn.

To be eligible for a refund or a credit, withdrawal requests must be received 5 business days prior to the start of a program. All refunds and credits will be subject to a $5 administrative fee. This fee applies regardless of any participant registration errors, participant cancellations or changes made after registration. 
Withdrawal requests within 5 business days prior to the program start date: If there is an active waitlist for the program and the spot can be filled by someone on the waitlist. If the spot cannot be filled, there is no refund given.
How will I get my refund?
Currently, instant refunds are not available through the registration software or at the front counter. All refunds will be subject to a $5 administrative fee. This fee applies regardless of any participant registration errors, participant cancellations or participant changes made after registration. There are two options to receive your refund:
  • Refunds can be issued in the form of a credit on your account. This credit can be applied toward another activity or program. Please note that there is no guarantee that credits can be used prior to March 31.
    • Account credits must be used by March 31 of each year. After March 31, credits over $5 will be refunded to you; credits under $5 will be removed from your registration account.
  • Refunds can be issued in the form of a cheque and sent in the mail.
    • Please ensure your mailing address is up to date in your online account. Once a refund request is received, it can take up to 3-4 weeks to receive your refund cheque in the mail.
  • You can also choose to donate your refund to the West Hants Inspire Program. This fund helps West Hants residents that may otherwise not be able to afford to participate in recreation opportunities in West Hants. If you would like to donate, please reach out to the Community Development’s Programs Team.

I’m registered for a program, but I want to switch to another program. How do I transfer my payment/registration?
To transfer or change registration, the Community Development’s Programs Team must receive the request at least 5 business days in advance of the program start date. Any transfers to another program are subject to the availability and difference in program fees.
You cannot transfer your spot to another customer.
Can I register my child for a program that is advertised for a different age group?
Participants must reach the age requirement before the program starts.
A program I want to register has prerequisite courses to register?
All participants must meet the course requirements outlined in the program information.
